BIn this article you will learn how to  add, delete, edit, or hide local items in your website catalog (also known as inventory). Adding and Editing Items, both Cloud Items (Items provided by a brand or vendor through the Thinkspace Vendor Cloud) and/or Local Items (Items that you enter or upload yourself to the Admin) is one of the most important tasks that you will be doing on your website .


To get started login to your site's Admin.


In this Article



Add New Item


  1. Navigate to Catalog > Items
  2. You will now see the Catalog Items List View 
  3. Click on the Blue "Add Item" button at the top of the Items List.




To begin, you will need to enter 4 basic pieces of item information, enough to initially create the item.


  1. Select the brand - if it is a new brand, you will need to create the new brand first at Catalog / Brands - "Add New" {How to Create a Brand}
  2. Enter the Stock Number for this item
  3. Enter the Name of the item
  4. Choose the Item Type
  5. Click on Save & Continue Editing to continue adding details to the item.


Now you can Enter, The rest of the item information and upload the images and finish creating the Item. Any items that are not bold are not required.


  1. Select the Items Status 
    • Active (shows on front-end) 
    • Incomplete, Inactive, Pending, Discontinued (does not show on front-end)]
  2. Select the Collection this item is in {Add a New Collection]
  3. Select the Department for this item {Add a New Department]
  4. Select Item Sub Types for this item {Add Item Sub Types}
  5. Select Item Styles {Add Item Styles}
  6. Check Box to  Feature the Item {Featuring Items and Featured Weights}
  7. Set the Items Featured Weight 
  8. Select Item Categories. (This will not be the same as Category on the front-end) {Adding and Editing Item Categories}
  9. Select the Genders for this Item.
  10. Select the Materials for this item 
  11. Enter the Item Description
  12. Add one or more Images for this item by dragging and dropping a square image into the "Drag Images to Upload" box or click the box to browse files on your computer.
  13. Add a Price for this item {Add or Edit Prices}
  14. Click on Save to complete this item and return to the List View page. Click on Save and Continue to save your progress and keep working on this item.

Important Notes:


There are additional fields on this page that you may also use.  They are self explanatory. Please write to support@thinkspacehq.com if you're having trouble.


An Item will not appear on the front-end of your site until the Status  is set to Active.



Edit Existing Item


When editing existing items, please note whether the item is coming from the Thinkspace Cloud or if you have uploaded the item yourself to your local site admin.

  • If the item is coming from the Thinkspace Cloud then you will only be able to edit certain fields and certain fields will only let you ADD an option but not OVERRIDE the existing option. 
  • If the items is coming from the Local Admin then you will be able to add/edit/override all fields.


To Start:

  1. Navigate to Catalog > Items
  2. You will now see the Catalog Items List View 
  3. Click on the item you want to edit. To help you find the item you're looking for, you can use one of two strategies:
    • You can use the filters at the top to narrow your search by Brand, Item Type, Status, etc...
    • You can use the Search bar at the top right to enter the exact Stock Number of the item you're trying to edit. (Note: If you have any filters selected while also using the Search option, the filters will be active so you may need to turn off the filters - choose All from the dropdown menu - before using the Search bar to get the exact item you're looking for.)

Once you've found the item you want to edit, click on the Image, Name or Stock Number in order to get to the edit screen.

  • If the item is coming from the Thinkspace Cloud then you may ADD fields but you won't be able to OVERRIDE fields so please write to us at inventory@thinkspacehq.com if there seems to be a mistake in the provided information.
  • If the item was uploaded by you or your team to the Local Admin then follow the instructions above for editing fields and adding new information.

Click on Save to complete this item and return to the List View page. Click on Save and Continue to save your progress and keep working on this item.



Remove or Hide Existing Item


When removing or hiding existing items, please note whether the item is coming from the Thinkspace Cloud or if you have uploaded the item yourself to your local site admin.

  • If the item is coming from the Thinkspace Cloud then you will NOT be able to completely remove the item from your admin. You will only be able to Hide this item. (Note: If you want to remove an entire Brand's worth of inventory coming from the Thinkspace Cloud, please write to inventory@thinkspacehq.com to make the request and have the entire Brand and all related products removed).
  • If the item was uploaded by you or your team to the Local Admin, you will be able to either Remove or Hide this item.


For items coming from the Thinkspace Cloud:


  1. Navigate to Catalog > Items
  2. You will now see the Catalog Items List View 
  3. You will need to use our bulk-edit feature in order to Hide items from the Thinkspace Cloud.
    • If you want to hide multiple items at one time, you can use the filters at the top to narrow your search by Brand, Item Type, Status, etc...
    • If you only want to hide one item, you can use the Search bar at the top right to enter the exact Stock Number of the item you're trying to edit. (Note: If you have any filters selected while also using the Search option, the filters will be active so you may need to turn off the filters - choose All from the dropdown menu - before using the Search bar to get the exact item you're looking for).
  4. Once you've found the item(s) you want to hide, click on the checkbox to the left of the image(s). If you want to select the entire page of items to bulk-edit, click on the checkbox the left of the word "Image" which will cause all items on the page to have their individual checkbox selected.
  5. Click on the Action dropdown menu and choose Deactivate Selected Items.
  6. Click Apply. (Note: If you are editing multiple items at one time, the page may take a while to reload, please be patient. If you get an error message, please return back to the previous Catalog Items List View page and see if your edits actually did take effect. Sometimes the edits were successful even if you saw an error message. If you saw an error message and your edits were not applied, please write to support@thinkspacehq.com for help).



For items in your Local Admin:

  1. Navigate to Catalog > Items
  2. You will now see the Catalog Items List View 
  3. If you want to hide/remove only one item uploaded to your Local Admin, click on the item you want to remove/hide. To help you find the item you're looking for, you can use one of three strategies:
    • You can use the filters at the top to narrow your search by Brand, Item Type, Status, etc...
    • You can use the Search bar at the top right to enter the exact Stock Number of the item you're trying to edit. (Note: If you have any filters selected while also using the Search option, the filters will be active so you may need to turn off the filters - choose All from the dropdown menu - before using the Search bar to get the exact item you're looking for).
  4. Once you've found the item you want to edit, click on the Image, Name or Stock Number in order to get to the edit screen.

  5. Change the Status of the item from Active to any of the following: Incomplete, Inactive, Pending or Discontinued (any of these statuses will hide the item from the customers).
  6. Click on Save to complete this item and return to the List View page. Click on Save and Continue to save your progress and keep working on this item.
