In this article you will learn how to add, delete, edit, or hide local items in your website catalog (also known as inventory). Adding and Editing Items, both Cloud Items (Items provided by a brand or vendor through the Thinkspace Vendor Cloud) and/or Local Items (Items that you enter or upload yourself to the Admin) is one of the most important tasks that you will be doing on your website .
To get started login to your site's Admin.
In this Article
Add New Item
- Navigate to Catalog > Products
- You will now see the Catalog Items List View
- Click on the Blue "Add Products" button at the top of the Items List.
To begin, you will need to enter 4 basic pieces of item information, enough to initially create the item.
- Select the brand - if it is a new brand, you will need to create the new brand first at Catalog / Brands - "Add New" {How to Create a Brand}
- Choose the Product Type for this item
- Enter the Product Name of the item (not required but recommended)
- Enter the Stock Number (not required but recommended)
- Click on Save & Continue Editing to continue adding details to the item.
Now you can enter the rest of the item information and upload the images and finish creating the Item.
- Select the Items Visibility
- Active (shows on front-end)
- Incomplete, Inactive, Pending, Discontinued (does not show on front-end)]
- Select a Collection for your items (not required)
- Input the Style Number (not required)
- Select how you want the URL to look like for the product (default is Stock Number)
- Set the Visibility for the item in the catalog (do you want it to only show up in search, catalog or both)
- Next to this area you will notice an option to add pictures/media to your product.
- Click on the button that says "Add Product Media." It will then open up a window that will allow you to choose pictures and videos for your items.
- Click "Add Image" to add images to your item.
- Click "Add Video" to add a video to your item.
- Click "Add Embed" to embed a video onto your item.
- Scroll down a bit on the page and you will see the item Classifiers. Select the Department this item is in
- Select the Sub Types for this item
- Select Item Styles for this item
- Select Item Categories
- Next, scroll down a bit further to where it says "Bio and Media." This is where you will put the description of the product.
- The next area is the Purchase Area. This is where you can put price notes, availability notes, hide pricing for just this item or disable it from purchase.
- The next area is placement for your item. Check Box to Feature the Item {Featuring Items and Featured Weights}
- Set the Items Featured Weight
- Lower numbers = Higher on the page {Featuring Items and Featured Weights}
- Lower numbers = Higher on the page {Featuring Items and Featured Weights}
- In the Attributes section, you can select Gender, Materials and Carat Weight
- Select the Genders for this Item. (not required)
- Select the Materials for this item. (not required)
- Enter the Items Carat Weight. (not required)
- Add a Price for this item
- Click on Save to complete this item and return to the List View page. Click on Save and Continue to save your progress and keep working on this item.
Important Notes:
An Item will not appear on the front-end of your site until the Status is set to Active.
Edit Existing Item
When editing existing items, please note whether the item is coming from the Thinkspace Cloud or if you have uploaded the item yourself to your local site admin.
- If the item is coming from the Thinkspace Cloud then you will only be able to edit certain fields and certain fields will only let you ADD an option but not OVERRIDE the existing option.
- If the item is coming from the Local Admin then you will be able to add/edit/override all fields.
To Start:
- Navigate to Catalog > Products
- You will now see the Catalog Items List View
- Click on the item you want to edit. To help you find the item you're looking for, you can use one of two strategies:
- You can use the filters at the top to narrow your search by Brand, Item Type, Status, etc...
- You can use the Search bar at the top right to enter the exact Stock Number of the item you're trying to edit. (Note: If you have any filters selected while also using the Search option, the filters will be active so you may need to turn off the filters - choose All from the dropdown menu - before using the Search bar to get the exact item you're looking for.)
Once you've found the item you want to edit, click on the Image, Name or Stock Number in order to get to the edit screen.
- If the item is coming from the Thinkspace Cloud then you may ADD fields but you won't be able to OVERRIDE fields so please write to us at [email protected] if there seems to be a mistake in the provided information.
- If the item was uploaded by you or your team to the Local Admin then follow the instructions above for editing fields and adding new information.
Click on Save to complete this item and return to the List View page. Click on Save and Continue to save your progress and keep working on this item.
Remove or Hide Existing Item
When removing or hiding existing items, please note whether the item is coming from the Thinkspace Cloud or if you have uploaded the item yourself to your local site admin.
- If the item is coming from the Thinkspace Cloud then you will NOT be able to completely remove the item from your admin. You will only be able to Hide this item. (Note: If you want to remove an entire Brand's worth of inventory coming from the Thinkspace Cloud, please write to [email protected] to make the request and have the entire Brand and all related products removed).
- If the item was uploaded by you or your team to the Local Admin, you will be able to either Remove or Hide this item.
For items coming from the Thinkspace Cloud:
- Navigate to Catalog > Products
- You will now see the Catalog Items List View
- You will need to use our bulk-edit feature in order to Hide items from the Thinkspace Cloud.
- If you want to hide multiple items at one time, you can use the filters at the top to narrow your search by Brand, Item Type, Status, etc...
- If you only want to hide one item, you can use the Search bar at the top right to enter the exact Stock Number of the item you're trying to edit. (Note: If you have any filters selected while also using the Search option, the filters will be active so you may need to turn off the filters - choose All from the dropdown menu - before using the Search bar to get the exact item you're looking for).
- Once you've found the item(s) you want to hide, click on the checkbox to the left of the image(s). If you want to select the entire page of items to bulk-edit, click on the checkbox the left of the word "Image" which will cause all items on the page to have their individual checkbox selected.
- Click on the Action dropdown menu and choose Deactivate Selected Items.
- Click Apply. (Note: If you are editing multiple items at one time, the page may take a while to reload, please be patient. If you get an error message, please return back to the previous Catalog Items List View page and see if your edits actually did take effect. Sometimes the edits were successful even if you saw an error message. If you saw an error message and your edits were not applied, please write to [email protected] for help).
For items in your Local Admin:
- Navigate to Catalog > Products
- You will now see the Catalog Items List View
- If you want to hide/remove only one item uploaded to your Local Admin, click on the item you want to remove/hide. To help you find the item you're looking for, you can use one of three strategies:
- You can use the filters at the top to narrow your search by Brand, Item Type, Status, etc...
- You can use the Search bar at the top right to enter the exact Stock Number of the item you're trying to edit. (Note: If you have any filters selected while also using the Search option, the filters will be active so you may need to turn off the filters - choose All from the dropdown menu - before using the Search bar to get the exact item you're looking for).
Once you've found the item you want to edit, click on the Image, Name or Stock Number in order to get to the edit screen.
- Change the Status of the item from Active to any of the following: Incomplete, Inactive, Pending or Discontinued (any of these statuses will hide the item from the customers).
- Click on Save to complete this item and return to the List View page. Click on Save and Continue to save your progress and keep working on this item.
